Intentional Time Management

This afternoon I went grocery shopping. This statement alone really means nothing. But if I tell you it was a local farmstead and local open air market then you might appreciate that this was not a typical experience. First of all I went in the middle of the day. Second this is the sort of place that does not even take credit cards but only operates in cash and check. In 2023. And so when I begin to tell you of the delight I experienced in choosing my fruits – juicy and lush plums, bags of cherries before the season comes to a close, huge containers of blueberries and strawberries at prices that make me question why or how I could ever consider shopping somewhere else. And piles, absolute piles of fresh corn, potatoes, and made from scratch pastries that just set my heart on fire. 

Early fall and harvest time always bring me joy. And savoring the delights of summer by indulging in fresh produce is a guilty pleasure of mine. It’s why we order groceries in the first place. I get distracted by the bounty and abundance in the produce section. Typically coming home without the practical foods that we need to prepare for our daily meals. And really, while I know that is an inconvenience, I would still argue that this is not a flaw. 

I am passionate about fresh and delicious food but I often find myself ill equipped to provide it. So often we’re pushing ourselves to complete dinner so that we can eat and get to the next thing. Eating itself becomes a task on a list and not an opportunity to unwind, enjoy, and savor. This happens to us all when we feel like we have so much to do and so little time. 

Lately I have been reading about time management. How in striving to complete tasks quickly we rob ourselves of the opportunity to savor and enjoy the bounty that surrounds us. Our agendas rob us of experiencing the moment. And the way we make more time for ourselves and what we love is that we simply do them.

The rest of life – the email responses, the tidying up of kitchens, will either get done or not. But rushing through the pleasures of our life only makes more time for these rudimentary tasks that are themselves endless. Because no sooner will you send an email than you will get one back. Or no quicker do you wipe down the counter than someone spills a drink. 

When we choose to take our time doing the things we love our life unfolds at a more natural pace. It begins to feel as if we have more time. For me it’s a lazy stroll through the market where I buy more fruit than one family can possibly consume. These simple joys fill my basket and my heart. The time used to treat myself leads to even more time doing the things I love. Because now I get to make zucchini bread, and eat blueberry pancakes. These simple delights blossom from one lovely occasion to many more very quickly. And instead of rushing home to complete the mundane I now feel excited. Choosing to follow my own rhythm I find myself enjoying life and that feels like the point. 

Investing Time Wisely

How to make Your Agenda your first priority and why it’s important.

At the beginning of any new year I like to take inventory. I go through the accomplishments of the previous year and create a list of all of the things I have done – new certifications, courses, or trainings. As I collected together this list today I realized – in life we move closer toward what we make time for. And I want to be sure I’m investing my time wisely.

At the beginning of the year it is fun to set intentions or write out resolutions. However, any project that I devote time and energy towards I will get better at and I will improve upon. At the beginning of the year I have the opportunity to choose where I allocate my time. If I take trainings in website design or pottery I will get better at those things. Therefore it is important to decide what I am working towards. 

Delight in the Detours

I am not advocating for a military style adherence to duty. Detours and often they delight and surprise us more than just following a very regimented path. I am suggesting that if we don’t take control of our own time, obligations will fill our days. 

If you don’t choose good books to read you will likely end up scrolling on your phone. If you don’t register for creative classes, or schedule a vacation that time will pass anyway. The only difference between being where you are now and where you want to be is your ability to invest in making your dreams happen. 

Parables

There’s an old story about a woman who wanted to get her law degree. She tells her friend, “I want to go to school but it takes so long and by the time I’m done I’ll be 45, I don’t think I should do it.” Her friend says, “In four years you will still be 45. Do you want to be a lawyer then or not?” Time will pass with or without our approval – how we fill it is up to us.

I hope you choose to spend your time on activities that bring you joy. Remember the only way to go in the direction you want is to intentionally take the path that leads there. 

Facing Challenges

We inevitably face challenges and hurdles – some plans may be delayed. Or you might miss opportunities because something else is more important and that is ok. The goal is not to plan out every moment or control every situation. The goal is remember that you have power over your time – it is the most valuable and limited resource we have in life. 

Choose Your Path

Choose how you wish to spend your time – if it’s law school, or a nail technicians course, or pottery class. Don’t leave the course of your life to someone else’s control because chances are they will steer you where they want to go, not where you would like to be. If you have a partner or a family, coordinate plans so that as you’re moving ahead your traveling together. It helps to have friendly faces to share the journey. Growing together with people you like and admire does not happen by accident, it happens by intention. Fortunately, the power lies within each of us.

Creating Opportunities for Our Own Success

Part of being successful is taking obstacles out of the way. Removing barriers can be an excellent gift that frees us to do more of what we love. For me it isn’t always doing the fun activity it’s making space in my day for the fun activity. It’s easy to get lost in emails or random trains of thought. The best way I have found to do the things that truly fulfill me is to make it easier. 

Set a Timer

If I have to organize emails or answer notes – I set a timer. I give myself 10 or 20 minutes to resolve and organize. This keeps me from getting sucked into an hour of unsubscribing and following up on emails from a month ago. Chances are I never needed that promotional email anyway.

Tandem Task

I want to take a multi-vitamin to help supplement my diet but I never remember to take it. I placed it in the cupboard next to my eye makeup remover. Every day I reach for the cleanser I see the vitamin and remember to take it. It’s a simple trick that keeps me healthy and adds no additional steps to my routine. It’s easy because it is attached to something I’m doing already.

Schedule the Time

I have found that if I don’t specifically allocate time to an activity the day gets away from me. Therefore, if I want to run to salon for a pedicure I set an appointment reminder. When it’s on the calendar it feels official. A task might get bumped if the day gets busy. But if I have it on my agenda I simply move the reminder to another day instead of cancelling it entirely. We all need to plan our joy.

Set It and Forget It

One of the ways I make sure our family eats well is by preparing meals in large quantities and freezing them for later. Instead of relying on take out for a quick meal fix I prepare a large meal on Sunday and freeze the extras. This gift to future me assures that later in the month we will have delicious foods ready. This works like a dream when we’re in the midst of team practices and family activities. 

If possible, I also like to prepare meals that slow cook all day. The crock pot is a lifesaver that helps me to have a delicious dinner ready without falling back on freezer pizzas. You can check out some of my favorite recipes on Pinterest.

These are some of the tools I use to create opportunities for success in my day. I hope they serve you. They’re all relatively simple quick fixes that I have found make my life a lot easier and help me to spend more time doing what brings me joy. Obligations vs. Opportunities

I have noticed myself rushing lately, pushing myself to complete more and more tasks. Accomplish goals, meet deadlines, and rush ahead. I also notice that this pressure does not help me to move any faster. It only leaves me feeling burdened and as if I have let myself or someone else down. Instead of doing that right now I am making a practice of taking my time. I am only expecting myself to accomplish those items that must be accomplished today. I am not putting off work or leaving those things that I can do until later. I am simply trying to do my best not to start and stop.

This means that I often open up projects or leave larger items on my “to do,” list for an extended period of time. This places undue burdens on my current and future self to complete a task. The thing about these items is that they are rarely necessary. And I know they are not necessary because I clearly did not make the time to do them the first week they were on my list. I still did not find the time to do them the following month. Leaving these items on my list does not serve me as I very clearly do not want to do them and there is no urgency to get them done. Instead I will make time for those things that do nourish and fill me. 

Instead of begrudging myself the incomplete task I will remove it from the list and feel a million times better. Because if it needed to be done or there was any motivating force to accomplishing this task, it would have shown up already. And if a task does not need to be done why am I holding it over my own head? Why am I beating up on myself or feeling unaccomplished because of it? Clearly my time has been filled with other things and clearly those things were either more urgent or more important. 

This weekend I did not find the time to make a dentist appointment. This is a long range task because I only see the dentist every six months. Does it need to be done immediately? No. Are my teeth healthy and well? Yes. So why would I feel angry or disappointed in myself for not accomplishing this task when I did have enough time to cuddle with my children and watch a movie. I had enough time to go through old family albums and listen to my grandmother’s stories. These are the real and important tasks that never make my list but always fill my cup and my heart. 

I don’t need to be petty with myself or with others and point out that one item that was not finished, when the larger picture, the big bold and beautiful works that make life worth living, that enhance our connections to other people and help us get to know ourselves better – those tasks get done. Those items are my priorities. I will not be sad or disappointed any more that basic tasks go unaccomplished because when they need to be done, they will be. And whatever I need to take away from the experience will be taken away. 

Instead of feeling less than because I did not make a dentist appointment – I am going to rejoice that I followed my inner knowing. I spent time with my grandmother and I focused on my children. I gave my full attention where it was needed and important. I did not waste my time on small tasks – there will be time for those tasks in the future. The work of now is to be attentive to my priorities and proud of myself for having myself so aligned that I did not ignore the magic in the moment to complete some obligation that brought me no joy but satisfied my desire to scratch something off a list. Because I’ll tell you, movie night with kiddos is never on the list but it happens every week. And quality time with Grandma was not on the list but when I saw that she would be in town and i could inspire her to share some of what she knows with me and listen to stories of our family history that I have never heard or known. I am proud of myself for jumping on that opportunity and for building connections to my past with her as my guide. I know more about who I am by knowing where my family came from. I know more about myself, about her, and about our history because my Grandmother is willing to tell her stories and because I am willing to listen. This does not happen every visit and I am grateful to myself for recognizing the moment and jumping on it. 

Routine and rudimentary tasks will always be there and some days are for making dental and doctors appointments. Some days are for errands and tasks and some days are for magic. Some days are for all of the things that are not on your list but belong at the top because they are worthy and wonderful – just like you are, just like I am. I am grateful to myself for doing this work and for showing up for myself and my family. I am grateful, pleased, and proud.
